The gap

Scale-house tools stop short of the silo.

Trucking TMS, field-ticket networks, and tank telemetry almost solve the problem. None of them give a bulk vendor live on-hand by unit plus a proper BOL workflow in one private system.

What yards cobble together today

Spreadsheets for on-hand. Paper or TMS tickets for loads. A separate portal wish-list for customers. Per-seat dispatch tools that get expensive the moment the office, scale house, and drivers are all on.

What BulkTally is

Software that runs a real yard today. BulkTally was built inside a working Uintah Basin sand operation, then productized: storage units that roll up from finalized weight lines, straight bills of lading, role-scoped access from scale house to customer portal. Drafts stay out of your totals. Every ticket is provable.

Product

Silo to BOL, without the spreadsheet.

Built around one invariant: on-hand equals baseline plus finalized net weights. Drafts never touch storage. Finalize posts the lines and locks the ticket.

01

Live storage inventory

Silos, tanks, bins, or stockpiles, named in your language. Levels, capacity, LOW alerts, calibrated baselines.

02

Draft → finalize BOLs

Inbound and outbound weight lines, live tally, truck tare/gross, then a green finalize that commits inventory and locks the ticket.

03

Straight bill PDFs

Printable bills of lading with your letterhead, ready for the scale house and the customer file.

04

Customer portal

Customers see only their company. Server-enforced scope on every query. Never trust the UI alone.

05

Roles that match the yard

Developer, admin, supervisor, staff, customer. Daily ops stay fast; deletes and calibration stay gated.

06

Your instance, your terms

White-label product name, company, container vocabulary, units (lb / ton / gal / bu), and ticket prefix: config, not a fork.

Workflow

A day at the scale house.

Four steps from empty ticket to locked BOL and updated on-hand.

Create the BOL

Customer, destination, carrier, product. Direction: loading out or receiving in.

Add weight lines

Net weights per storage unit. Live tally shows what inventory will look like after finalize.

Finalize

Green commit. Lines post to storage, ticket locks, acting user is logged.

Print & report

Straight bill PDF for the truck. Daily log and reports for the office.

Verticals

Tuned for your industry, not a generic ERP.

Frac sand, cement, fuel, aggregate, grain, and adjacent bulk yards are ready out of the box. Got a use case that doesn’t match one of these exactly? No problem. We tweak and customize the software to your materials, units, labels, and processes as part of onboarding. The demos below are fiction yards in those languages: proof we already speak the category, not a closed list of who we’ll work with.

Your instance

Bought means yours. Built around how you actually run.

Every customer gets a dedicated private instance on their own DigitalOcean account, not a shared tenancy. We sit with your processes, tune the product to your yard, and keep shipping the pieces that only make sense for you.

01

Private instance on your cloud

You own the DigitalOcean account and the infrastructure. We configure and deploy BulkTally there, not a shared mega-tenant.

02

Tuned to your yard

Silos or tanks, lb or gallons, ticket prefixes, roles, letterhead, and the labels your crew already uses. We configure it to match how you work.

03

Process fit, not workarounds

We learn your inbound/outbound flow, customer portal needs, and reporting cadence, then shape screens and defaults around that use case.

04

Fast custom features

Need something new? We quote it first, build it cost-effectively, and usually deliver in 1-2 weeks on your instance. Some add-ons may nudge monthly a bit above $200, agreed up front.

05

Direct partnership

You’re not filing tickets into a void. You work with the people who built BulkTally to tweak, extend, and keep it honest as the yard changes.

06

Industry-ready out of the box

Start from a vertical that already fits (sand, cement, fuel, rock, grain), then we refine until it feels like software made for your plant.

Pricing

Simple, competitive, private.

No per-seat tax when the scale house and office both need logins. A clear go-live fee, a flat monthly, and custom work only when you ask for it, quoted up front.

Software & support
$200/mo

Ongoing product support and a direct line to us (hosting billed by DigitalOcean to you)

  • Updates & fixes without an enterprise PMO
  • Direct access to the people who built it
  • Custom features on request: quoted before we start, built cost-effectively, usually delivered in 1-2 weeks
  • Fair monthly bumps: if an add-on adds ongoing cost to run, we may raise monthly a bit above $200 (always agreed before build)

Hosting: your DigitalOcean account

You’ll stand up (or already have) a DigitalOcean account and cover the droplet bill, typically about $30-$50/mo depending on size. Add us as administrators on that account; we log in, provision the infrastructure, and deploy your BulkTally instance. You keep full control of the cloud that runs the product; we handle the setup and ongoing app care. No account yet? Sign up at DigitalOcean, invite us as admins, and we take it from there.

Need something that isn’t in the base product?

We work with you on the workflow, quote the work before any hours start, and ship fast on your private instance. Most extras land in one to two weeks. Complexity can mean a slightly higher monthly, never a surprise invoice after the fact.

FAQ

Straight answers before the call.

What it costs, what you own, and how far we bend it to your yard.

How much does BulkTally cost?
BulkTally is $2,500 one time for go-live setup, then $200 per month for software and support. Hosting is billed directly to you by DigitalOcean, typically about $30 to $50 per month depending on droplet size. There is no per-seat charge when the office and the scale house both need logins.
Is BulkTally a shared multi-tenant SaaS?
No. Every customer gets a dedicated private instance on their own DigitalOcean account, not a shared tenancy. You own the cloud account and the infrastructure, and you add us as administrators so we can provision it, deploy your instance, and keep the app cared for.
Which industries does BulkTally support?
Frac sand, cement, fuel, aggregate, and grain yards are ready out of the box, with live demos at sand.bulktally.com, cement.bulktally.com, fuel.bulktally.com, rock.bulktally.com, and grain.bulktally.com. Container vocabulary and units (lb, ton, gal, bu) are configuration on your private instance, so adjacent bulk material yards are tuned to their own materials, labels, and processes during onboarding.
What does BulkTally actually do?
It keeps storage inventory and bills of lading in one private system, built on a single invariant: on-hand equals baseline plus finalized net weights. Drafts never touch totals, so a ticket only moves inventory when you finalize it, which posts the weight lines and locks the ticket. You also get straight bill PDFs, a daily log, reports, and a customer portal, with roles for developer, admin, supervisor, staff, and customer.
Can BulkTally be customized for our yard?
Yes. Custom features are quoted up front before any work starts, and usually delivered in 1-2 weeks on your private instance. If an add-on adds ongoing cost to run, monthly can land a bit above $200, always agreed before the build and never as a surprise invoice after the fact.
